I setup my new Maxtor OneTouch 4 Plus 750 GB External Hard Drive and couldn’t be happier. I can now remove the (usually ignored) recurring DVD file backup task reminder in MS Outlook.

OK, so it’s not so much about actual office organization (it isn’t my stack of 7 DVD’s causing clutter in my office), but it’s more about mental organization, a freeing of brain space. I don’t have to think about backing up my files each week (or beat myself up for not doing it), because it now gets done automatically each night.

And even though I’m not tech savvy (I usually screw these kinds of things up), I was able to install and set everything up within a few minutes.

One item scratched off my Office Organization Venture: Stage 1 action list, 13 to go before March 15th!

    (heaven forbid any of the following actually happen…)

    Should someone break into your house, they would probably steal the external hard drive along with your computer. – no more back up

    Should your house burn down, your external hard drive would also burn. – no more back up

    There are several options:
    You could to do a monthly/weekly back-up to an on-line server, a virtual hard drive. There are many versions available at various costs with various security levels.

    You could continue to do DVD back-ups and store them in a safety deposit box, your Mother’s basement or other secure area.

    Personally, I like the on-line back-up. You can usually get a pretty decent monthly price (equivalent in price of 2 DVDs). You don’t have the pile of DVDs lying around that you’ve got to take over to your Mother’s house. You can download anything from your file vault quickly in case you screw up something that you were working on and you want to revert to a previous version.

    All that being said, should you decide on an on-line file storage system, do some thinking before hand to come up with a consistent naming policy for all your files.

    Jacki, this is something I’ve given a lot of thought to. DVD backups just weren’t working for me (call me lazy, but the whole process was just so time consuming). This entire Office Organization Venture project is all about automation, so I decided to subscribe to an online backup service in addition to my external drive.

    Like you say, these negative circumstances are never something you hope for, but being prepared for such an event makes getting through them a little more bearable.

    What backup system are you using that’s online – are they REALLY safe and secure? I know there are a lot out there. Should you have a back up option like a backup drive as well.

    Should one password protect their documents before sending them to backup off line?
